Administrative Assistant (Intern)
About ICRC
The International Committee of the Red Cross (ICRC) is an impartial, neutral and independent organization whose exclusively humanitarian mission is to protect the lives and dignity of victims of armed conflicts and other situations of violence and to provide them with assistance. The ICRC also endeavors to prevent suffering by promoting and strengthening international humanitarian law and universal humanitarian principles. Established in 1863, the ICRC is at the origin of the Geneva Conventions and the International Red Cross and Red Crescent Movement. It directs and coordinates the international activities conducted by the Movement in armed conflicts and other situations of violence.
PURPOSE
The Administrative Assistant (Intern) is responsible for supporting the daily operations of the office and providing executive assistance to Head of Mission and Administrative Team. This role ensures that the office environment is well-maintained, supports employee productivity, and that executives receive high-level administrative support.
Assisting Head of Mission (HoM) (40%)
-Provide direct administrative support including managing complex calendars, meetings coordination, Meeting Room booking, travel arrangements, and expense reports.
-Serve as the primary point of contact for all administrative responsibilities including supplies, onboarding logistics, and correspondence.
-Scanning, filing and archival of documents for HoM.
-Serve as a point of contact for internal and external inquiries directed to the HoM.
-Any other duties assigned by HoM.
Administrative Support (60%)
-Assist with finance operational matters such as invoice processing and payment.
-Keep the digital filing systems neat, organized, and easy to navigate.
-Assist in certain aspects of procurement such as ordering and restocking of stationery and pantry supplies.
-Handle incoming calls and representative email account, deliveries, and communication with internal teams and external stakeholders.
-Assist in liaising and coordinating with facilities team for maintenance work and cleaning/sanitation services.
-Ensure that the office space is functional and appropriate for proper representation and receiving visitors.
-Regular check of ICRC diplomatic Pigeonhole in MFA.
-Assist with on-site (Meeting Room) event set up and post-event duties.
-Provide support on ad hoc tasks as necessary within office management.
-Any other general/admin duties assigned from time to time.

•A minimum diploma or equivalent.
•Team player with good interpersonal and communication skills

•Attentive to details
•Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook
•Relevant working experience with admin roles will be preferred.
